Funnel & Automations Specialist (Contract)

Love clean systems, calm workflows, and being the person who makes the tech just work behind the scenes? Looking for a remote position with true work/life balance, and a chill, happy, and talented team? This role will feel like home.

This is a contract position for someone who enjoys ownership, clarity, and building infrastructure that the rest of the team can rely on.

About Reflective Marketing

Reflective Marketing is Canada’s top HVAC social media ad agency, and we’re ready to add new talent to our team! Our tight-knit crew is full of creative thinkers, problem solvers, and action-takers who are passionate about helping contractors thrive.

Our mission: empower contractors to provide for their families, support their employees, and make home comfort more affordable.

While our agency is based in Newfoundland and Labrador, Canada, our team is fully remote, serving clients across Canada and the United States.

This role is right for you if:

You’re highly organized and naturally think in systems, workflows, and cause-and-effect

You love digging into data and solving problems

You communicate clearly, proactively, and calmly — especially when explaining technical concepts to non-technical teammates

You like being trusted to execute without micromanagement

You take pride in building things once and building them properly

You’d rather prevent fires than constantly put them out

You want to make a real impact, not just be a cog-in-the-wheel

This role is not a fit if you thrive in disorganization, struggle with communication, or feel uncomfortable walking teammates through technical setups.

If this sounds like you, we want to hear from you.

What your role looks like:

Reporting to the Owner & Strategist, the Funnel & Automations Specialist is responsible for all of the technical setup and maintenance of our clients’ lead follow-up system.

You’ll own the behind-the-scenes setup that ensures new clients are onboarded smoothly, workflows run reliably, and our automation ecosystem stays clean, stable, and scalable.

This role is focused on execution and ownership — not experimentation for experimentation’s sake. You’ll be expected to understand our systems deeply, improve them thoughtfully, and keep them running with minimal friction.

Your day-to-day work includes:

Owning and maintaining our internal automation and funnel infrastructure

Independently executing the technical onboarding of new clients, end to end (including sales pipelines, online calendars, notifications, email and text nurturing workflows, tracking phone numbers, and other relevant automations);

Creating and optimizing landing pages and funnels to drive more leads for client ad campaigns

Maintaining and optimizing our HighLevel snapshot for HVAC clients to ensure systemized success

Creating and managing integrations using Make (and other tools where appropriate)

Proactively spotting system issues and resolving them before they impact the team or clients

Documenting systems, workflows, and technical processes clearly

Communicating system changes, updates, and risks to the Owner and relevant teammates

Collaborating internally to ensure systems support — not complicate — delivery

Spotting opportunities for system and process improvements to better serve our clients

Improve results, and improve efficiency for the team

What You've Got to Offer:

Hands-on experience building and managing marketing automations and funnels

Strong working knowledge of HighLevel or similar CRM/funnel platforms

Experience with Make or comparable automation tools

Excellent organizational skills and attention to detail, so much so that you’ll use the word “sandwiches” as the answer to your favourite food on the application form

Ability to explain technical concepts in plain English

Comfort working independently in a remote, async environment

A steady, reliable communication style

Ability to think critically, troubleshoot problems, and offer solutions

Fluent in English, both written and verbal

Bonus Points If You Have:

Agency experience

Exposure to the trades/home improvement industry

Digital marketing background

Experience using Zapier, Facebook Ads Manager, Meta Business Suite/Manager, Google Analytics, Google Ads, Slack, ServiceTitan, Housecall Pro, Asana or any other relevant marketing software/applications.

What's In It For You:

Fully remote position: work from anywhere with a strong internet connection!

Consistent work: guaranteed 35 hours per week

A wellness- focused culture, including paid days off

Autonomy and growth: you’re not a cog in a wheel here. We are a fast-growing, small team where your work truly makes an impact and you are in the driver’s seat of your career

Constantly evolving, cutting-edge technology

Relaxed work environment with coworkers you’ll actually love

Professional development opportunities, including access to some of the top agency training programs in the world
